Who we are

Acadex Training Ltd (“we”, “us”) is the data controller for the personal information described in this policy. We are registered in England & Wales, company number 17306283, registered office 33 Barratt Gardens, Middleton, Manchester, M24 5JU.

What we collect, and why

When you book a course

We collect:

• Your name, email address and phone number, as the person making the booking
• Each attendee’s name and date of birth, and optionally their own email and phone number

We need this to reserve places, send joining instructions, and register learners with the awarding body. Date of birth is required because our qualifications have minimum age requirements that we must verify.

The lawful basis is performance of a contract — we cannot provide training we cannot identify you for — and, for awarding body registration, compliance with a legal obligation.

When you contact us

We keep your name, email, phone number and message so we can reply and keep track of the conversation. The lawful basis is our legitimate interest in responding to enquiries.

What we deliberately do not collect

We do not collect National Insurance numbers through this website. Where one is needed for an SIA licence application, it is taken in person on the first day of your course and is never stored in this system.

We do not use analytics or advertising cookies, and we do not track you across other websites.

Payments

Card payments are handled entirely by Stripe. We never see or store your card details. We keep a record of the amount, the payment status and Stripe’s reference so we can reconcile bookings and process refunds.

Who we share it with

We share personal information only where necessary, with:

• Highfield Qualifications, our awarding body, to register learners and issue qualifications
• Stripe, to take payment
• Our email provider, to send booking confirmations and joining instructions
• Our hosting and database providers, who store the data on our behalf

We do not sell your information, and we do not share it for marketing.

Where your information is held

Our database is hosted in the United Kingdom. Some of our service providers may process limited data outside the UK; where they do, appropriate safeguards are in place.

How long we keep it

Booking and attendance records

Kept while needed for awarding body and audit purposes, then deleted.

Payment records

Kept for six years, as required for UK tax and accounting.

Contact enquiries

Deleted once the enquiry is resolved and no longer needed.

Your rights

You have the right to:

• Ask for a copy of the personal information we hold about you
• Ask us to correct anything inaccurate
• Ask us to delete information we no longer have a reason to keep
• Object to or restrict how we use it
• Ask for your information in a portable format

To exercise any of these, email info@acadextraining.co.uk. We will respond within one month.

If you are unhappy with how we have handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113. We would rather you came to us first so we can put it right.

Cookies

This website uses only the cookies necessary for it to work, such as keeping staff signed in to the administration area. We do not use analytics, advertising or tracking cookies, which is why you are not being asked to accept anything.

Changes to this policy

If we change this policy we will update the date at the top. Where changes are significant, we will tell affected customers directly.
